Volunteers

 

The success of our events would not be possible without the numerous volunteers who generously offer their time and effort.

NXsports is constantly looking for motivated volunteers and community groups to be part of such a big day for the athletes and we would love for you as an individual, club or organisation to come out and join us!

Our events need volunteers and assistance from local community organisations in order to operate and ensure we keep a strong local vibe.  We strive to create and maintain partnerships with residents, families, businesses, sporting organisations, commerce and stakeholders to ensure strong and long lasting relationships with the community.

In order to make each of our events a reality, we recruit the help of local volunteer heroes and community organisations. These remarkable volunteers provide raceday assistance in exchange for a variety of benefits for both individuals and groups.

All volunteers will receive the following:

  • Volunteer t-shirt, hat, or gift
  • Event and festival atmosphere
  • Food and water pack
  • Event day experience
  • Certificate of appreciation 
  • The amazing experience of supporting others in a community event.

 

Individuals & small groups also receive the following benefits by volunteering:

  • If you want to race at our race and your spouse/partner wants to volunteer at the same event for us we'll apply a 50% discount to your registration fee.  Let us know before your partner enters to receive your voucher.

 

Non Profits, Organisations and/or Fundraiser groups receive the following benefit:

 

We strongly encourage Community Groups, Sporting Organisations and Schools to raise money through community service on race day. 

We offer a negotiable donation in exchange for your group of 6 volunteers or more.  Get in touch with us for more info!

 

Roles & Responsibilities

 

Position

Responsibilities

Registration

To ensure athletes are registered for the event and distribute race numbers, race packs and timing chips.

 

Other duties include:

  • Sign on/ Sign Off
  • Display results
  • Main hub for communication to participants
  • Bag Room for participants
  • Body marking
  • Ensure trophies, prizes and medals are in order
  • Set up and management of presentations

Erections Crew

  • Setup of courses
  • Setup of registration area
  • Set up sponsorship flags and expo area

Social Media

  • Attend the need of VIPs
  • Assist with setup and promotion of expo area
  • Upload multi-channel posts throughout the day

Car Park Marshal

  • Guiding competitors to the designated car parking areas and other directions as required.

Swim Marshal

  • Ensure all participants report at the swim start and are in the right wave
  • Take note of their bib numbers
  • Count participants in and out of the water
  • Direct participants towards transition
  • Ensure participants start the race only after the horn has sounded
  • Manage safety of participants in line with the Surf Life Savers.

Cycle Marshal

  • You must ensure all competitors turn at the right spot on the course
  • Record their number as they go past you as a double check to ensure there is no cheating on the course.
  • Advise cyclists to stay within traffic cones at corners. Keep any wandering spectator or pedestrian out of the bike course and control pedestrians crossing at designated points
  • Alert medical staff should anyone need medical attention
  • Assist and work with uniformed officers directing traffic onto the course.

Run Marshal

  • You must ensure all competitors turn at the right spot on the course.
  • Record their number as they go past you as a double check to ensure there is no cheating on the course.
  • Advise runners to stay within traffic cones at corners. Keep any wandering spectator or pedestrian out of the run course and control pedestrians crossing at designated points.
  • Alert medical staff should anyone require medical attention
  • Keep pedestrians off the course.

Water Stations

  • Ensure all competitors have drinks available to them during and after the race at various points along the course and at the finish line
  • Ensure there are adequate drinks at the allocated drink stations and continuously refill drinks, whenever necessary
  • Hand out drinks to the participants in a safe and professional manner as to minimise disruption to their race
  • Ensure rubbish kept clear of the course and regularly clear away used cups
  • Pack unused drinks back into the cartons and place them at the side of your drink station.

Transition Marshal

  • Keep any wandering spectators out of the transition area
  • Assist athletes hanging their bikes in their allocated racks
  • Guiding competitors safely in and out of transition and giving encouragement and motivation along the way
  • Assist with pack down of transition and ensure only participants with body number take their matching bike number

Finish &
Recovery

  • Assist the Timing to record the order of finishing athletes
  • Cut fruit and fill cups of water / hydrating fluid
  • Direct all competitors towards the recovery area
  • Cheer and support all participants as they approach the finishing line
  • Alert medical staff should anyone need medical attention
  • Assist in removing the timing chip from every participant at the finish line and pack them in the allocated boxes.
